I. GENERAL
1.The organizer of the Poland Business Run is the Poland Business Run Foundation based in Krakow, at ul. Henryka Siemiradzkiego 17/2, 31-137 Krakow, entered in the Register of Entrepreneurs of the National Court Register led by the District Court for Krakow - Śródmieście in Krakow, XI Commercial Division of the National Court Register under the number KRS 0000617320, NIP 6762507232, REGON 364424465 (“Organizer”).
2. The Poland Business Run 2024 is a charity relay run held in a stationary formula in Krakow and in a global virtual formula on 08.09.2024, which aims to help people with locomotor disabilities and people after mastectomy. Detailed information about the Run can be found at: www.polandbusinessrun.pl ("Event" or "Run").
II. OBJECTIVE
The objectives of the Run are:
1. To popularize knowledge and familiarize with the subject of musculoskeletal disabilities.
2. To promote a healthy and active lifestyle.
3. To integrate local communities and business environment.
4. To raise funds to help beneficiaries of the Poland Business Run Foundation.
III. DATE, LOCATION AND FORMULA OF THE EVENT
1. Poland Business Run will take place on September 8th, 2024 (Sunday).
2. Depending on the chosen formula and starting round, the competitors should cover the assumed route in the following hours:
a) stationary Run in Krakow: 9:30-12:00 (I round), 12:30-15:00 (II round)
b) global virtual Run: 00:00-20:00 Central European Time (CEST).
3. The Poland Business Run in the stationary formula referred to in point 2.a) will be held in Krakow over a distance of 3,6 km. The exact route will be presented on the Organiser's website no later than 14 days before the start of the event.
a) The running route shall be closed to road and pedestrian traffic.
b) Competitors should obey instructions of the Organizer, services securing the Run route and uniformed services.
c) In the event of an emergency vehicle appearing on the route, runners are obliged to stop the race and allow the vehicle to pass.
4. The Poland Business Run in the virtual formula referred to in point 2.b) shall be run anywhere in the world over a distance of 4 km.
a) The participant is free to choose the location of the Run.
b) The competitor determines the route of the Run on their own, observing the regulations in force (including the traffic law, the Civil Code and the regulations of the area) and the necessary safety measures effective in the country in which they are currently staying during the Run.
c) The Organiser shall not be liable for any damage or claims by a participant or any third party resulting from the route chosen by the participant or the participant's failure to observe the regulations and safety measures.
5. Poland Business Run is a relay run. Each team entered must have 5 players. One runner can only be entered for one team.
6. Each team is obliged to appoint one of the players as the Team Captain.
7. One person/company may enter an unlimited number of 5-person teams.
IV. RULES FOR THE STATIONARY RUN
1. The start of the Poland Business Run in Krakow will take place at 9:30 and 12:30. Competitors will be assigned to a starting round in the order in which they are registered. The start will be preceded by a briefing by the captains. Competitors starting in the first round must arrive at the starting line at 9.15 (I round) and 12;15 (II round).
2. The organiser may not allow the relay team to start if it does not turn up at the scheduled time.
3. The team has to complete 5 laps of the route. Each runner of the team shall complete one lap. Changes in the relay take place only in the designated changing zone at the start/finish line. It is not allowed for one runner to complete more than one lap or to start in more than one team.
4. The order of starting competitors in a team corresponds to the order declared in the Entry Form as of 06/09/2024 at 11:59.
5. Only one person from each team is allowed in the changing zone. Persons finishing their rounds must leave the changing zone in the designated place without undue delay.
6. In order for a team to be classified, all team members must complete the stationary Run.
7. Teams have a time limit of 2,5 hours. At 15:00 the running route will be opened to traffic. Participants are obliged to leave the route if the time limit is exceeded. Whoever remains on the route after the time limit set out in the Regulations shall be liable for it pursuant to the applicable traffic regulations and the Civil Code.
8. The participant limit is 2640 teams (13000 runners) - 1320 teams (6600 runners) for each starting round.
9. Each competitor declares in writing that they are aware of the fact that the Organiser does not take liability for any damages and consequences of accidents that may occur during the Run, not related to their statutory liability as the Run Organizer. The original statements shall be delivered to the Organiser on the day of collecting the participation package by the Team Captain or a person authorised by them.
10. The competitors are obliged to participate in the Run using T-shirts provided by the Organiser. This is a necessary condition for the team to be admitted to the Run and later classified. No tampering with the T-shirt provided by the Organiser is allowed. It is allowed to use elements that distinguish the team on other parts of the competitor's clothing, provided that these elements do not obscure the T-shirt, including in particular the start number and logotypes of the Poland Business Run 2024 Sponsors.
11. The changing room and depository will be located in the area of start/finish line. Precise information on the location and hours of operation of the changing rooms and the depository will be given on the Organiser's website not later than 14 days before the Run. Clothing will be deposited in bags (supplied by the Organiser) marked with the runner's starting number. The deposit bags will be handed out upon presentation of the start number. Losing the starting number by a runner releases the Organiser from responsibility for the collection of the bag by another person.
12. Participation in the briefing of the captains of the teams participating in the Poland Business Run is compulsory. Team Captains' Briefing will take place on the day of the Run at 9:30 a.m. (at the location previously set by the Organiser). Briefing of captains will be interpreted into English in real time.
13. For safety reasons, it is forbidden to ride bicycles, wheelchairs, roller-skates, skate-boards and other mechanical devices or pushchairs on the Run route without a valid permit issued by the Organiser. It is also forbidden to use nordic walking poles and to run with a dog.
14. For safety reasons, it is forbidden to use audio devices (headphones, headsets) by the competitors in the changing zone.
15. It is forbidden to bring intoxicants, illegal substances, performance enhancing drugs and alcohol of any kind to the venue of the Run. Participants are prohibited from taking such drugs or substances both before and during the race under pain of exclusion from the Run. In the event that a participant is found to be in breach of the aforementioned prohibition, the Organiser reserves the right not to allow them to take part in the Run or to exclude them during the Run.
V. RULES FOR THE VIRTUAL RUN
1. The starting order of the competitors is arbitrary. The order of runners in a team on the results list corresponds to the order declared in the Entry Form as of 06/09/2024 at 11:59.
2. It is not necessary that all team members run in the same place or at the same time.
3. Competitors cover the route by running or walking. It is acceptable to run with a pram, use nordic walking sticks, guided running and running with a dog. It is also allowed to cover the distance on a stationary treadmill.
4. It is forbidden to use bicycles, rollers, skateboards, skis, scooters and other equipment, mobility vehicles used for transportation.
5. Each participant registers their run using one of the running applications available on the market (e.g. MapMyRun, Strava, Runkeeper, etc.) with a GPS function or the Poland Business Run application registered on a mobile device, or using a watch with a GPS function. In the case of a run on a stationary treadmill referred to in point 3., the run will be documented by means of a built-in electronic counter.
6. After completing the run, participants are required to enter the correct results themselves into the Poland Business Run mobile application ("Application") or its browser version. It is required to provide the e-mail address of a given competitor, given at the team registration, the time achieved and a confirmation of the result in the form of a screenshot from the running application referred to in point 5., a photo from the built-in electronic counter on the treadmill or a photo from a watch with GPS function. The size of the uploaded file must not be larger than 2MB.
7. Each competitor is obliged to enter their result not later than 11:59 Central European Time (CEST) on 09/09/2024 (Monday).
8. A result can only be entered once, for one team only and cannot be edited. It is the responsibility of the runner to enter the correct score. Incorrect or no score input within the time limit is not subject to complaint.
9. In order for a team to be classified, all members of the team must complete the run and send in their results in accordance with point 7. The Organizer reserves the right to verify the results.
10. The official announcement of the competition results will take place on 14/09/2024 at 12:00 Central European Time (CEST).
12. Failure to finish the run or failure to enter the result in the Application by any runner within the time limit will result in lack of classification of the team in the Run.
VI. PARTICIPATION TERMS AND CONDITIONS
1. The Poland Business Run is open to persons who, during the registration for the Run, i.e.:
a) between 14/05/2024, 12:00 and 06/06/2024, 23:59 for the Real, Real Plus, Virtual and Virtual Plus packages,
b) between 14/05/2024, 12:00 and 31/07/2024, 23:59 for the Real Charity and Virtual Charity packages,
c) between 14/05/2024, 12:00 and 06/09/2024, 11:59 or the Virtual Eco package,
have successfully registered the team and have paid the entry fee by the date stated on the invoice (the day on which the money is credited to the appropriate account of the Poland Business Run Foundation is decisive).
2. The relay must be made up of five persons who, on the day of the run at the latest, are over 18 years old, of any gender.
3. In order to be admitted to the starting list one has to fill in the application form proper for the chosen formula on the Organiser's website within the deadline specified in point 1 and payment of the entry fee within the deadline specified on the invoice.
4. The Organizer reserves the right to reserve a pool of places for invited competitors and sponsors.
5. The Organizer reserves the right to introduce an additional pool of starting numbers and to keep a reserve list.
6. The Organizer does not provide participants with accident insurance.
7. Each competitor starts in the Run on their own responsibility.
8. Each runner, by accepting the Rules and Regulations of the Run (by means of an activation link sent to the e-mail address given in the Application Form), declares that they are aware of the fact that the Organiser is not responsible for any damages and consequences of accidents that might occur during the Run. Additionally, a competitor of a stationary Run shall make a written declaration that they are fit to take part in the Run, as specified in point IV.9 of the Regulations.
9. Competitors consent to the processing of their personal data for the purposes of the Organiser and to the use of their image in information and promotional materials.
VII. REGISTRATION AND STARTING FEE
1. The team's participation in the Poland Business Run shall be registered by means of an application form ("Application Form") available on the website www.polandbusinessrun.pl.
2. Participant registration shall open on 14/05/2024 at 12:00 Central European Time (CEST).
3. An entry is understood to be the filling in of the online Application Form the following is required when registering: the name of the team, the name of the company /if the entry is a company entry/, the invoice details, the address for delivery of the starting package for the team and the details of at least one runner).
4. Within 14 days from the date of acceptance of the team, the entry fee must be paid and the data of other players must be completed (if the data were not completed during the application). Otherwise the application may be cancelled. At the express request of the applicant, the deadline for payment can be extended with the consent of the Organizer.
5. Declarations concerning players' T-shirt sizes can be made by the person registering the team in the Entry Form until 06/06/2024. Failure to fill in the T-shirt size by the specified deadline results in assigning a random size to the participant and releases the Organizer from the obligation to guarantee the correct size.
6. The entry fee, to be paid by competitors for participation of the whole team in the Run amounts to:
a) stationary run in Krakow
- Real Charity package - PLN 1600 net (PLN 1728 gross)
- Real Plus package - PLN 775 net (PLN 837 gross)
- Real package - PLN 590 net (PLN 637,20 gross)
b) virtual run
- Virtual Charity package - PLN 1600 net (1728 gross)
- Virtual Plus package - PLN 590 net (PLN 637,20 gross)
- Virtual package - PLN 450 net (PLN 486 gross)
- Virtual Eco package - PLN 450 net (PLN 486 gross)
7. At the express request of the person submitting the team sent to [email protected] before making the payment, the Organizer may issue an invoice in another currency according to the exchange rate valid on the day of the invoice issue. Requests will be considered within 14 working days from the date of submission.
8. From the amount of the participation fee, 55% will be donated to support people with physical disabilities and after mastectomy. The remaining 45% will cover administrative and organisation costs of the Run.
8. Entry fee should be paid by bank transfer to the appropriate bank account specified in the invoice. In the title of the transfer the pro forma invoice number should be given.
9. The Organiser will only accept payments by bank transfer.
10. The team registrant accepts the issuing of a VAT invoice in electronic form.
11. Invoices are generated and sent automatically, based on the data included in the Application Form, by e-mail to the address indicated in the Application Form.
12. At the express request of the person registering the team, sent to [email protected] the Organizer may issue a collective invoice. Requests will be considered within 14 working days from the date of submission.
13. The entry fee once paid is not refundable. The fee cannot be transferred to another relay team. By paying the fee, the team understands that in case of inability to participate in the Run it will not be refunded.
14. As part of the entry fee, each runner receives an individual starting package. The composition of individual packages will be posted in the appropriate tab on the Organizer's website before the start of registration for the run.
15. A set of 5 starting packages of a given team for virtual run will be sent from 05/08/2024 until 02/09/2024 to the shipping address indicated in the Application Form. Starting packages for stationary run will be distributed in the competition office in Kraków. The place and working hours of the competition office will be posted on the Organizer's website no later than 14 days before the start of distribution of the packages.
16. In the case of sending starter packages outside Poland, the recipient of the shipment is obliged to cover the costs of the delivery. The cost will be determined individually based on the country of destination of the consignment. The organizer reserves the right to refuse to ship the package to a country outside the European Union.
17. The team captain is responsible for the distribution of packages to their team members.
18. The team captain is obliged to take care of the accuracy of the data to be entered in the Application Form. The Organizer is not responsible for any failures and delays due to missing or incorrect data.
19. The Organizer shall not be liable for possible typing errors or other mistakes in documents and forms made by the team captain or the registering person.
20. Should a package containing runners' packages not be collected, the packages will not be resent. This does not affect the possibility of participation in the Run, if the necessary conditions specified in paragraph V point 5-9 are met.
21. A change of team member is allowed until 06.09.2024 (Thursday), 11:59 Central European Time (CEST). The change is made by the person registering the team or the captain using their account on the Run website, changing the data in the Application Form accordingly. After the set time, the possibility of editing the competitors' data shall be blocked.
a) in the case of a stationary Run, it is also not possible to make changes after the issue of the starting package,
b) The possibility to edit T-shirt sizes will be disabled on 31/07/2024 at 23:59.
VIII. CLASSIFICATION AND AWARDS
1. Competitors who complete the Poland Business Run 2024 will receive commemorative medals. The medals will be included in the starting package in the case of Virtual, Virtual Plus and Virtual Charity packages, and handed out on the day of the Run in the case of the Real packages. Eco packages does not include medals.
a) All competitors will be able to download a personalized medal in an electronic version.
2. The Run has a recreational and charitable character. There will be prizes for winners in the following categories:
a) Stationary running - where the prize is for the teams that have achieved the best time total.
b) Global running - with prizes for the teams with the best overall time in the virtual competition.
c) Charity - the rules of charity competition are described in separate regulations.
3. There will be symbolic prizes for 1st - 5th places in the Run team classification. The Organizer reserves the right to extend the number of awarded teams.
4. The Organizer reserves the right to additional verification of the times obtained by the participants in the running category.
5. The Organizer reserves the right to introduce additional award categories.
IX. FINAL PROVISIONS
1. All participants of the Poland Business Run are bound by the Regulations. By submitting an application, the participants declare that they have read the Regulations and accept their provisions and undertake to respect them.
2. Any violation of these Regulations by competitors may result in the disqualification of the team that includes the runner violating the Regulations. Disqualification may take place both during and after the race.
3. Possible complaints regarding the classification of teams and the operation of the application can be made in writing to [email protected] by:
08/09/2024 until 18:00 for the stationary run,
09/09/2024 until 12:00 central European Time (CEST) for the virtual run.
Complaints sent after this time shall not be considered.
4. The Organizer reserves the right to change the Regulations, which shall apply to participants upon publication of the changed Regulations on the website www.polandbusinessrun.pl.
5. The Organiser reserves the right to cancel or interrupt the Run without giving reasons.
6. The Poland Business Run Foundation has the exclusive right to make a binding interpretation of the provisions of these Regulations, to resolve disputes and doubts arising during their application and to answer questions concerning their content.
